Responsibilities :
As a Sales Administration Clerk, you will be responsible for the control and validation of the contracts submitted by Sales Teams based in 12 Criteo subsidiaries over the globe (you will manage a defined number of entities). This position requires constant interaction with Sales managers that is why fluency in oral and written English and excellent communication skills are the key to achieving success in this role.
The purpose of your mission is to ensure that all submitted contracts are in line with internal control rules and advertising guidelines of Criteo.
On a monthly basis you will be responsible for creation & control of the financial accounts for new advertising campaigns, which is necessary for triggering the invoicing.
You will take the lead in resolving arising litigations in co-ordination with Sales and Cash Collections teams. You will be the point of contact for processing the changes in the CRM (Customer relationship management) tool and keeping up to date client's billing information & contacts.
Your tasks will include :
· New contracts management (“New Advertiser” Management) :
· Daily validation of the Insertion Orders
· Follow-up of the incomplete orders with the Sales Managers and ensuring their completion in a timely fashion (explanation of the rules to be applied when filling the Insertion Order)
· Creation of client financial accounts in the CRM
· Control of the changes of existing clients (“New IO” Management):
· Daily control of the alerts containing possible contract changes
· Ensuring timely update of the CRM in accordance with detected change
· Monthly Report and Financial Account preparation for the new launched campaigns (“Orphan report”) before monthly billing run :
· Ensuring that for all new campaigns launched during the month the Financial accounts were created in CRM
· Guarantee the coherence of the Insertion Order to the internal control rules (SOX control) when allowing to trigger the invoicing of the campaign
· Anticipate problematic Insertion Orders and bring the list of such orders to the attention of your manager and SOX control officer
· Anticipate the errors in the campaign set-up (currency mistakes and country incoherencies) coming from technical implementation teams (BI) and make sure these errors are corrected before the beginning of monthly billing run.
· Management the changes of client data in the CRM:
· Daily treatment of the updates related to client accounts (payment terms; contacts; addresses and etc.)
· Litigation management :
· Once the litigation case is identified by Sales Manager / Cash collector, you will be responsible for investigating on the source of the mistake, giving the guidelines to Sales Manager in order to correct it & following up the issue until the problem is resolved
· After resolution, you will be responsible for updating the CRM with new information and informing respective billing team giving the justification for credit & rebill
· Relationship with Administration teams in specific Criteo subsidiaries (Japan; Brazil) :
· Regular communication with local accounting administrators to provide better understanding of specific administrative rules of some countries
· Other ad-hoc projects / tasks
· Inherent to the day to day activity of the entities concerned
Profil recherché
Requirements :
· Previous experience of working in a fast moving international Sales Administration and Billing environment
· Fluent English with excellent written and oral communication skills (any other languages a plus)
· Fluent English with excellent written and oral communication skills (Russian language a plus)
· Highly organised and autonomous
· A self-starter, capable of taking the initiative, and understanding quickly
· Logical, able to organise workload, prioritise and manage time effectively.
· A good general understanding of database management
· Excellent knowledge of Excel (formulas and vlookups) and WORD
· High attention to detail
· A team player
· Resilient and tenacious with a proactive, positive approach
· Salesforce experience and JIRA knowledge a plus
