Reporting directly to the Workplace Services Sr. Coordinator, the Front Desk Receptionist will provide exceptional customer service to both internal & external customers. He/She is a constant resource for our employees and makes the first direct impression on Salesforce customers. This position requires a high level of customer service. Guest Welcome Experience
· Always be aware of your surroundings. Ensure your body language remains professional at all times, smile and stand to greet EVERY guest who enters your reception
· Greet all walk in guests in a courteous, pleasant, and highly professional way and ensure they log in the system. Being able to explain and help is needed, and ensure all visitors display badges at all times
· Help our guests to feel welcome and comfortable (offering to take their coats or bags, and offering coffee to any guest waiting in the lobby, if the activity allows it)
· Greet all staff entering the office and become familiar with who's who in order to acknowledge staff by name, especially VPs.
· Help direct visiting employees and executives to hotel seating and conference rooms
· Maintain a tidy and clean Reception area ( ensure no rubbish is left, plants always fresh, furniture disposed as indicated by Workplace team, etc.)
Customer Service
· Manage all requests for access card,
programming, cancellations and make sure all temp badges are returned promptly.
· Provide switchboard support according to existing procedures, and deliver professional call handling and screening of calls for clients.
· Taxi booking management
· Being a support for employees with meeting room booking assistance (being familiar with Google Calendar)
· Liaise with the security team when appropriate for day to day operations
· Organizing incoming and outgoing deliveries that include shipping and courier services.
Workplace support
· Work closely with the Workplace Services Sr. Coordinator to maintain and provide excellent customer service and support to the office . Discuss general expectations, any issues, any suggestions to maintain a high standard
· Assist the Office Coordinator as needed with various projects
· Assist internal customers (employees) with all Real Estate and Workplace Services related items
· Handle invoices coming according to existing procedures
· Order office supplies
· Taking responsibility in sending and tracking packages that are highly important and valuable
· Event support: responsible for badges and greeting groups when needed, according to security procedures, catering orders when needed
Required Skills/Experience:
· Excellent interpersonal communication skills - customer service experience preferred
· Proficient at using the Microsoft Office Suite and Google Docs
· Must be willing/able to learn and use our internal Salesforce.com software application
· Ability to take direction and follow oral and written instructions
· Good writing, analytical, and problem-solving skills
· Ability to operate standard office equipment (telephone systems, copiers, scanners, printers, fax machines) *LI-Y
